Business automation, WhatsApp bots and booking systems in South Africa
Automation means getting software to handle the repetitive steps your team does by hand: capturing entries, saving files, sending confirmations, moving information from one place to another. I build automations, WhatsApp bots and booking and enquiry flows for small businesses, teams and organisations in South Africa, usually on top of tools you already use.
Start a conversationSigns you're ready for automation
You might be ready if someone on your team copies details from WhatsApp into a spreadsheet, chases people for the same information every week, answers the same questions every day, or keeps files spread across phones and inboxes.
None of that is a technology problem at first glance. It's manual chaos, and it quietly eats the time your team needs for the work that actually matters. My job is to break it into small, buildable pieces and replace them one at a time.
WhatsApp bots: meet people where they already are
Almost everyone in South Africa has WhatsApp. It's how people talk to family and do business. A WhatsApp bot doesn't ask anyone to download an app, create an account or learn something new.
When JD Creations brought me in on the Albany Ntofo Ntofo radio competition for Motherland Omni, launch was only a week or two away. I built a WhatsApp bot that walked entrants through five steps: consent to capture their details (POPI compliance matters), first name, surname, a photo of their Albany bread as proof of purchase, and how they heard about the competition. Each photo was converted and saved to a Google Drive folder automatically, and each entrant's details went into Google Sheets. The organisers checked entries in tools they already knew, with no training needed.
The biggest lesson: if you make the gap between wanting to do something and doing it small enough, people take part.
Use the tools you already have
Good automation doesn't always need a big custom build. The Albany bot ran on the WhatsApp Business API, Botpress for the conversation and Make.com to process and route the data. There were no servers to manage.
At Value Ed I also built automation routines for data input processes, so the team spent less time on manual capture. Where your tools can be connected, I'll connect them before suggesting anything new.
Booking, enquiry and registration flows
A lot of admin comes down to people asking to book, register or pay, and someone replying one message at a time. On the Sweet Tooth website, the enquiry form asks what kind of enquiry it is first, then shows only the questions that matter, and each submission arrives as a neatly organised email. Event tickets are sold through a Quicket widget inside the site.
For FootGolf South Africa, tournament entry and membership payments through PayFast happen in the same system that handles scoring and rankings. The idea scales down well: people choose, the system captures the right details and confirms, and your team stops doing it by hand.
How I approach an automation project
First I map how the work happens today, step by step, before writing any code. My B2B integration work for Value Ed and Deviare taught me that time spent understanding requirements upfront saves a lot of rework later. Then I build the smallest version that helps, test it with real people, and adjust. You get documentation and a handover so your team can run it without me.
“Mpumelelo Mkhize and his team were crucial to the success of our Albany Superior Brown Bread Competition campaign. They developed an exceptional WhatsApp bot that was user-friendly and efficiently managed many entries. The team met tight deadlines, adapted well to changes, and created a seamless user experience, significantly contributing to the campaign's success. We highly recommend their services for similar digital projects.”

Common questions
Do I have to replace the tools I already use?
Often not. The Albany competition bot stored everything in Google Sheets and Google Drive so the organisers could keep working in tools they knew.
How much does automation cost?
It depends on how many steps and tools are involved. On a discovery call we'll look at your process, and I'll send a tailored quote.
